Heartfelt Farewell Messages

A warm departure note only works when the warmth is earned. If you sat near this person for two years, covered for them, learned something from watching them handle a bad week — say that, and say which week. The messages here are built around a specific memory rather than a general sentiment, because "you will be missed" is what people write when they cannot think of anything, and it reads that way on the card.

If you barely knew them, this is the wrong set. Warmth from someone the leaver cannot place is worse than a short, sincere line, and they will notice. Take the short messages on the main farewell page instead — brevity from a near-stranger reads as respect, not indifference.

One thing worth checking before you write: whether the departure was their choice. A warm note that assumes excitement about the next thing lands badly on someone who did not want to go. Most of these are written to work either way, and the ones that are not say so.

Lasting impact on my career trajectory

“I cannot overstate the difference your guidance has made to my confidence and career. You took the time to explain not just what to do, but why it mattered. Thank you for opening doors and modeling what thoughtful leadership looks like.”

Leaving a job they were good at

“Leaving a job you are good at to go and learn something harder is not the easy option, and it is very you. Thank you for three years of straight answers, and for never once making a junior person feel small in a review. Go and be excellent at the new thing.”

Best for: Colleague leaving for study, a career change, or a different field.

Trust built entirely over a screen

“We have worked together across five time zones and never once been in the same room, and you are still one of the people I trust most here. Thank you for the early calls and the patient explanations. I hope our paths cross properly one day.”

The problems that never reached us

“Thank you for the number of times you absorbed something from above so that the rest of us never had to think about it. I only ever found out about half of them, and I suspect that was the point. Whoever gets you next is getting someone rare.”

Best for: Manager who shielded the team from organizational noise.

Thanks to the person who took the chance

“You hired me when my CV did not obviously say I could do this job, and then you made sure that I could. I have thought about that a good deal this week. Thank you for the chance, and for everything after it.”

Best for: Manager who gave you your first opportunity in the role.

A handover done carefully

“Handing a team over in the middle of a program is not a comfortable thing to do, and you have done it about as carefully as it can be done. Thank you for the detail in the handover, and for being straight with us about what is unfinished.”

Best for: Manager leaving partway through a project or reorganization.

Leaving better than they arrived

“You are leaving considerably better than you arrived, which is the entire point of the job, and I am glad I got to watch it happen. Take the new role seriously and yourself slightly less so. My door stays open.”

Best for: Manager writing to a team member moving on to a new employer.

The correction that stuck

“You once told me I was solving the wrong problem, in front of people, and you were right. I have thought about that more than any praise I have had here. Thank you, and good luck.”

Advice that scaled past you

“The things you taught me have since been taught by me to three other people, none of whom know where any of it came from. That seems like the right measure of a mentor. Thank you.”

Hired raw, leaving formidable

“You arrived not entirely sure you could do this job and are leaving as the person others come to first. I had very little to do with that, but I did get to watch. Good luck out there.”

Outgrowing the role, correctly

“You outgrew this role about six months before a bigger one appeared elsewhere, and I would rather you went and did it than waited politely. Congratulations, and thank you for the notice period.”

Best for: Report leaving because there was no next step internally.

Leaving the field entirely

“Walking away from something you are demonstrably good at, to go and do something you actually want, takes a kind of nerve most of us keep meaning to find. Congratulations. Tell us how it goes.”

Thanks to someone who stepped in

The job was only a job without you

“There is a version of this job that was just a job, and I did not have it because you were here. Two years of terrible coffee, honest opinions, and being talked down from at least three emails I should never have sent. The new city gets a good one. Tell me when the spare room is ready.”

What you actually miss is the small things

“I have thought about what I will actually miss and it is not the big things. It is having someone to eat lunch with who does not want to talk about work, and knowing exactly which face you would pull in a meeting without having to look. Congratulations on getting out. Do not become a stranger about it.”

Actually going and doing it

“Everyone says they will do it eventually and you have actually gone and done it, which is the entire difference. I have watched you talk about this for long enough to know it is not a whim. It will be harder than the version in your head and you will still be glad. Ask me for anything.”

Glad for you and sorry for me

“I am not going to pretend to be purely delighted about this. You are doing the right thing and I would tell you to do it again, and Mondays here are about to get considerably worse. Both of those are true at once. Go and be very good at it, and keep answering your phone.”

Hired for one job, did a better one

“I hired you into a role that turned out to be quite different from the one advertised, and you made it work anyway and then made it better. Losing you is the correct outcome for you and an inconvenient one for me, which is roughly how it should feel. My reference is yours whenever you want it.”

Advice still being repeated

“You gave me the two pieces of advice I still repeat to other people, and you gave them at moments when it would have been much easier to say something encouraging and vague. I have tried to be that direct with the people I now work with. Thank you, and please stay reachable.”
